I have read through two books. I have read through the ID CS4 Help. I have read through the ID CS4 pdf ''Using InDesign CS4''.
I can't figure it out, and it's frustrating.
I have a paragraph
Locate the mounting screw on the assembly (Figure 3-4)
Above figure 3-4 I have a text frame (two lines)
''FIGURE 3-4''
''ASSEMBLY''
I want to create a cross reference between the description text, and figure heading frame. If I add pages and figures, and move things around in the document (or book), I want the ''(FIGURE 3-4)'' and ''FIGURE 3-4'' (figure head frame) to update automatically.
How do I do that? Is there a good tutorial on the internet that shows how?
Thanks,
RPP

CS4 CROSS REFERENCE How-To Help Please
thanks for responding to my post. At least someone did.
I realize I got it wrong from the start. What I want is ''auto-numbering'', so that FIGURE 3-4 change to, say FIGURE 3-7 when I added pages.
I found an instruction of sorts, and will have to try it. I read the instructions several times and I'm still a little foggy on it. It's possible I'll be back here with more questions.
Again, Thanks for replying.

Hi RPP,
The deal is that you can't have the figure number *follow* other paragraph text--text added by the automatic numbering system has to appear at the start of the paragraph. But that doesn't mean that you're out of luck. You can have InDesign enter the text ''Figure'' before the figure number--to do that, enter the text in the Number field of the Bullets and Numbering dialog box. For your purpose, you'd probably use something like this:
Figure ^H-^1
That enters the text ''Figure'', followed by the chapter number, a dash, and the first numbering level. It's a good idea to save this as a custom list, so choose New List from the List pop-up menu and enter a name for the list.
Next, when you refer to one of these paragraphs from the body text as you create a cross reference, choose Paragraph Number from the Format pop-up menu in the New Cross-Reference dialog box. Note that the only real text in the paragraph is the carriage return--but the text entered by autonumbering still appears.
Does that make sense?
Thanks,
Ole
Thanks for the reply.
I think I have it ... (sorry, I was about to say ''figured out'')... worked out.
The first step is all this is: ''Layout'' menu; to assign a chapter number. i.e. the ''^H'' in the code does do anything unless I have assigned a chapter number to the document.
I think I have the rest worked out.
click in the ''Figure x-1'' paragraph; ''new hyperlink destination''; This assigns an ''ANCHOR''.. ANCHOR1, ANCHOR2, ANCHOR3, ... through the document.
in the body paragraphs where my text reads ''Locate the mounting bolt (Figure x-1)...'' I click and then ''New cross-reference'' and assign the ''ANCHOR1''... For ''Figure x-2'' I assign ANCHOR2, and in body text where I have ''Remove the belt guard (Figure x-2)... I assign a new hyper link to ANCHOR2...
and so on through the document.
If I reshuffle pages, I have to click ''refresh links'' and all works well. I haven't tried moving pages from one document to another yet, but I will try that tonite.
Seems all the sources I've read through don't explain this too well.
It all comes down to two separate tasks. ''Auto-numbering'' being one task. And cross-referencing being another. And what is actually happening is that I am ''cross-referencing'' an ''automatic numbering paragraph''.
Thanks again. I'm sure I'll have more questions as I attempt to learn the new CS4 InDesign application.

Hi RPP,
re: ''click in the ''Figure x-1'' paragraph; ''new hyperlink destination''; This assigns an ''ANCHOR''.. ANCHOR1, ANCHOR2, ANCHOR3, ... through the document.''
That will probably work, but this might be quicker (after you've set up the autonumbering options for a given paragraph style):
1. Position the cursor at the point at which you want to add the cross reference
2. Click the Add Cross Reference button at the bottom of the Hyperlinks panel. InDesign displays the New Cross Reference dialog box.
3. From the list on the left, select the paragraph style for the autonumbered paragraphs. When you do this, the text of the relevant paragraphs appears in the list box on the right.
4. Select the paragraph you want to refer to from the list on the right, then set up the options in the Appearance section (you can always come back and change these options if necessary).
5. Click the OK button. InDesign adds the anchor and the cross reference text.
Thanks,
Ole
Thanks Ole,
I'll give that a try as soon as I can.
I have the cross-ref, and auto-numbering working in one document.
When I ''move'' that ''page'' to another document, the auto-numbering seems to work correctly and updates ok, but the cross-referencing gets all screwed up. It seems the link wants to remember where the original is. I can understand this some. There will be times when I want to cross-reference other locations in a book. When a page is moved from one document to another, the source document still has the original auto-number and cross-reference link.
It's possible I have to set my auto-numbering options different.
For example. In one document, i set up the auto-numbering (FigureFigure ^H-^1), Then I set the cross-ref for ''full paragraph''
This assigns ''FIGURE 3-3'' for example. If I move that page to another document that already has a link by the same name, it's like the software gets confused.
When I copy a file in the finder (windows) (that is; cntl+C) and then
paste (cntl+V) in the same finder window, I'll get ''copy of + file name. If I make a new folder in windows, but don't name it, it will say ''New Folder''. If I do it again, I'll get ''New Folde (1)''... ''New Folder (2)...
It seems to me (beginner that I am) that if I copy (move) a page from one document to another, and it has a named link of the same name, it should come into the new document as ''FIGURE 3-2 (1)''... then, the ''refresh'' could resort and match to the new sequence of the auto-number.
I'll try your method, and see what results I get.
Thanks again for you help

Hi RPP,
re: '' If I move that page to another document that already has a link by the same name, it's like the software gets confused.''
Sure, because the cross reference is now, from the document's point of view, pointing at a different paragraph (if you copied both the reference and its target) or a paragraph in a different document (if you copied only the text containing the cross reference). Updating the cross reference should take care of it.
If the paragraph style and figure numbering options are the same, the number should update to reflect its new place in the numbering list you've defined.
Note that having multiple numbers from the same numbering list in different text frames on the same page will sometimes cause the numbers to be other than you'd expect--we usually expect a top-to-bottom, left-to-right order, but InDesign numbers the text frames according to the order in which they were created. You can get around this by either copying/pasting the frames until you get the order you want, or by linking the frames in the desired order.
re: ''It seems to me (beginner that I am) that if I copy (move) a page from one document to another, and it has a named link of the same name, it should come into the new document as ''FIGURE 3-2 (1)''... then, the ''refresh'' could resort and match to the new sequence of the auto-number.''
When you're dealing with documents and folders, what's changing is the *name* of the object. In this case, the paragraph doesn't have a name, and what you see in the paragraph is just text that's entered by the auto-numbering feature. I understand what you mean, but I think it would be more confusing to have InDesign enter some additional text. Remember, auto-numbering and cross references are not necessarily related--you can use one without the other.
Thanks,
Ole
