Multi-Level Numbered Lists CS4

I have a document that I need to include Auto-numbering and am having trouble getting the sub sections to number correctly. There are often a number of paragraphs before the next subhead (H2).%26lt;br /%26gt;%26lt;br /%26gt;On the H2 style if I don't insert a number after the chapter ^H^ then it automatically goes to 8.2.2 instead of maintaining the Chapter 8.1 until the next H1 head. I don't want to have separate styles for each H2 such as 8.1, 8.2, 8.3, 8.4. Is there way I can do this? Am i missing something. That is where I got the styles for what I did, but I can't seem to get the second level to work automatically. Which means I have to create separate styles for each of the sub heads

CS4 index code for subentry repeats...

I'm indexing a book and for each subentry I'm getting a repeat of the entry string concatenated with the subentry value. For example:



Agencies 357

Agenciesconsumer rights 359

Agenciesinterview questions 358

Agenciesregistry or staffing 357



Problem appears to be in Word Import where InDesign creates index codes with erroneous content. I've tested with with RTF, Word 97-2003 and Word 2007 format and the results are the same.



Running CS4 on Windows Vista. Index markers were imported from Word 2007 using Word 97-2003 format. Index worked correctly in Word.



I've got a 500 page book with complex layout that is ready to go once I get the index fixed!



Suggestions welcome, thank you.

Dynamic Text?

I am creating an InDesign document that will be about 65 pages. On all the left-hand pages, at the top, I want the title of the document.



However, I don't want to have to enter it on every page. I want the text to be dynamic so if I change the title of the document on the cover page, all the pages are updated automatically.



How do I do this? I have searched the help files extensively and am hitting all around it with Tables of Contents, Autopage numbers, etc., hyperlinks and crossreferences, but can't find this one particular situation. Thank you in advance.

If the running head should be the same on all left pages, then static

text on the left master page is all you need (as Simon said). If you

want the left page to show different running heads in the same

publication depending on page content, look into ''Running Header

Variables''. You may also want to check ''Section Marker'' for running head

text you can assign through the Pages panel.

We are creating 40 books of about 65 pages. So, I am creating a template where all the subject matter expert has to do is change the title of the book, and all the pages are updated with the title of that book. (The title of the book actually shows up in several places in the publication).



So I am trying to create a system that will be error free. I could have them type the title on the cover, master page, and other locations, but undoubtedly they will miss one or two along the way. This I want to prevent.



I will also have the chapter title show up on the top right hand side of every page. There are 5 chapters, so what I need to learn is how can a document be set up so when you type text in one text frame, it automatically enters the exact same text in other designated text frames?

Read the help files about variables, as Ken suggested.

Variables.



On the master page, set up a Running Header Variable that references the

paragraph style used for the title. The running head will pick up any

text styled with the paragraph style named (for example) ''Title''. Change

the Title text, and the running head will change to match.



This setup is usually used for running heads that change throughout the

document (like a dictionary, or a book that shows each chapter number in

the running head), but it will work just as well for running heads that

get set on the first page and remain the same throughout the document.



1) Make a paragraph style for Title (if you haven't already done so)

2) Edit the Running Header variable so that it calls text styled with Title

3) Insert the Running Header variable on the master page.

    I have a book with 5 chapters. Each chapter has at least 5 layers with different languages.



    I have created a table of content in one of the languages/layers (we can call it layer 1).



    Here is when my problem occurs:

    When I try to create a table of contents in any other language/layer - the table of contents is created in layer 1 instead of the active layer.



    Even if layer 1 is locked - the table of contents is created there - in the language that I wanted to create it, but in the wrong layer.



    I could copy it into the right layer - but this won't solve the problem in the future, when new layers are created with other languages.

    Character styles in cross-references

    Greetings,



    I've set up a cross-reference format (CS4) that contains a character style --so the ''character style for cross-reference'' box is checked, and contains a style listed in the drop-down menu. When I load the x-ref format into another document, it appears in the list of formats, and the related text in the definition box comes in fine. But the ''character style for x-ref'' box is now unchecked. I've tried synchronizing the styles across documents, and the same thing happens--the related character style never comes in. Has this happened for anyone else? Any suggestions? I need to synchronize the style across 24 documents, and be able to change it quickly between web and print versions, so I'd really appreciate your help.

    I did--I synchronized the character styles and the cross-reference formats at the same time, and when that didn't work I ran each synchronization separately. All the files now have the correct character styles...but the xref format still drops the style when I load it into a new doc.

    No, I meant clicking the Character Style panel menu button and choosing to Load Character Styles. Doing that first, then your other steps. Does it make any difference?

Tengo un problema que se me presenta con libros que son algo pesados (contienen imagenes, tablas, etc) cuando trato de imprimir varias copias seguidas de un mismo libro y le activo la opci贸n cotejar (compaginar o intercalar) (en ingles collate) para que cada copia me salga ya compaginado (es decir los libros ya listos) solo me imprime de a uno, osea que tengo que volver a enviarle la orden para que me salga otro. La cuestion es que si yo quiero 100 copias de un mismo libro tengo que darle 100 veces la orden de imprimir. Poseo un equipo con win XP, ID CS3 y una copiadora RICOH Aficio 2045. Por favor, necesito una soluci贸n pues he tenido libros con mayor peso en PageMaker y no se me habia presentado este problema.



    Ya estube mirando con la casilla desactivada y si me imprime las copias que le pida, pero esto no me sirve pues tendria que hacer el trabajo a la antigua (manualmente acomodar cada libro para que las paginas queden conecutivas). Igualmente, consulte en otros foros y revise el driver de la imrpesora y es la ultima versi贸n. De todas formas, al parecer ha nadie mas se le ha presentado este problema

    Difference in PDF export through...

    Hello All,



    I am facing a unique problem. I have a document in InDesign. When Export the PDF through InDesign Application using PDF Preset the PDF size is around 15.7 MB



    If I use the Same Preset in Adobe Distiller, Export the Document as EPS (Size 51 MB) the PDF is exported with Size 1.3 MB.



    Why is there so much of Difference in Adobe Distiller and InDesign using same preset. Or Am I doing some thing wrong.

    You don't mention a version, but there was an issue with, if I remember correctly, files exported from CS being bloated. It might even have carried into CS2.



    That said, there are also significant differences in exported vs distilled PDFs, with exported files able to maintain interactivity and live transparency, as well as tagging for enhanced access. I'm not sure that distilled PDF can store information like swatches, styles or color profile, either. Distilled PDF doesn't automatically embed the fonts, either.



    That large a difference, though, may also reflect extra, useless, information stored in the ID file. Before exporting the PDF you should delete all unused styles and swatches, and do a ''save as'' to remove the ''undo'' information.

    I am using InDesign CS3 and Distiller also of the same version on Mac.



    One more question if We export the EPS it might be carrying the unused styles and swatches etc. So if we pass the EPS through Distiller it might be using the same information to generate the PDF. Or does the Distiller strip off these information from EPS while generating.

    I don't know a lot about eps, but I don't think it can carry styles, and it doesn't support transparency, for sure.



    I've never worried too much about the file size, myself, but I don't post a lot of stuff on the web.

    I have a document page with multiple artworks on it. I want to show the client only a section/portion of the page, eg only one artwork. Does anyone know of a script and/or plugin that does this from within InDesign (either platform, cs2, cs3 or cs4). Can be free or commercial. Much appreciated.

    Indesign CS4 HTTP Support.

    When attempting to migrate scripts written for Indesign CS3 I ran into an early error. The Bridge DLLs that are used to allow Indesign web access are throwing an error. When using webaccesslib.dll, netio.dll and coretypes.dll, but when attempting to create a new instance of WebAccess I get an I/O Error.

    Is there a way you can create tables from scratch using InDesign? or do you have to import them? When I import them, it will never fit into the text frame. I tried using the fitting technique, but never fix the problem.

    The other half, not able to 'fit tables', might also warrant some help.

    I presume that you mean the Fit-Content-to-Frame option (or one of its variants). None of these work with tables; they hang happily all out of the frame on the right (and sometimes left) side, and the frame is not aware of it.

    Indexing in InDesign CS3 - Windows

    When I highlight a word or place the cursor in the text to add index tags, sometimes the text will compress thus changing the flow and pagination of the whole document. This happens when adding tags to some locations whether I highlight the word or just place the cursor in the space before the word. It doesn't happen with all index entries; some (maybe half) are entered without apparent changes to the text. Any ideas?? Maybe if I froze the pagination at the start??

    I think it happens because tags somehow change the words enough for the hyphenation/spacing algorithm to let it re-run the text. Does it happen with words on the 'edge' of a paragraph, or anywhere in paragraphs?%26lt;br /%26gt;%26lt;br /%26gt;CS3 has had significant problems with indexing in the original version (5.0.0). The latest update to 5.0.4 should %26lt;br /%26gt;i finally%26lt;br /%26gt;fix everything (just in time as well). It's in the Character panel menu, and you might as well put it under a hotkey.).

    Indesign text problems

    In my leading box there's a parenthesis(14.4pt) around the size. I think it should be on ''auto''. However, it makes my text big and won't show the original 12pt font size. In other words, my font size says it's 12pt, but it's way bigger than 12pt. I think it's the leading box that's affecting this problem. Any suggestion?

    The leading box is telling you that (a) you've chosen Auto for your leading -- that's what the parentheses mean -- and (b) because your text is 12 point and your choice for autoleading is 120% the value of the leading is 14.4 points.



    Have you checked the scale of the text frame holding the text? If that is larger than 100% then that would explain the text being larger than the 12 points displayed.



    Which version of InDesign are you using?

    I'm using CS4 right now for a class assignment. I check my scale and it's at 100%. My font size says it's at 12pt and showing like a 30pt. In order for me to make it near a 12pt font, I have to change the 12pt into 4 or 6pt.

    Does this happen to all text in all documents or just some particular text in a particular document?



    Can you export it as a snippet and post it somewhere so we can take a look at it?

    It's happening in all documents. All i know is that my insert point is always big. I'm not sure how to export it.

    Have you tried trashing your preferences? Restart InDesign and immediately hold down Ctrl+Alt+Shift. You'll be prompted to reset your preferences. Choose OK. If the problem persists then maybe you could provide a screen capture showing the condition you're seeing.

    Thomas, yes it happens with all the fonts.

    To post a screen shot, you need to upload it somewhere on the web and then post a link to the file. If you don't have your own web site, there are a number of free services you can use -- although I'm not familiar with them because I do use my own web site.



    When you say CTRL+ALT+SHIFT didn't work, do you mean restoring the preferences failed to make a difference or you didn't get the message about restoring them?

    That's sounds like a different problem. Do you have No Break activated for your text?

    When you say ''bunch up'' do you mean successive lines are being drawn on top of the preceding lines, or or that they aren't showing up at all?



    Also, it wasn't clear to me that your response to Dave's question about all documents being affected included new ones or only existing docs. Replacing preferences will have no effect on any document already in existence -- you have to fix those manually. Below are the places to look for oddities in your text defaults, which are set for the application with no documents open. For existing documents, open the doc and look in the same places, but be sure there is no active text cursor or text frame selected.



    With no documents open, look in the character panel and tell us what is listed for font, size, and leading. Open the panel menu and also be

    sure ''No Break'' does not have a check mark next to it.



    Now open the Paragraph Styles panel and double-click on the [Basic Paragraph] style. What is listed under basic character formats? Are there any other styles listed?



    Open the Character Styles panel. Are there any styles listed besides [None]? if so, is one of them highlighted?



    Open the Object Styles panel. Double-click on [Basic Text Frame]. Is the Paragraph styles box checked? If so, what style is being used? Are there any other styles besides the two [Basic ...] styles and [None] listed in the panel? If so, does one of those have the little default icon with the ''T'' inside it next to the style name?



    Make a new document and set some type. Is it still wrong?

    Peter,I mean that the words are on top of words. For my character panel it shows: Times New Roman, 12pt, leading (14.4pt).



    Paragraph style-basic character format: same as above, but Ligatures is check off.

    In the object style: None,Basic Graphic Frames,Basic Text Frame.

    Did you start a new document and try to set type?



    When you tried replacing your preferences before, did you see the confirmation dialog and respond that you really did mean to replace the preferences?

    I'm not understanding when you say ''set type''. I open a new document and it has the same settings from the existing document.



    It ask me if I want to reset the preference and I click yes.

    Also I would like to add that when I started the new document, my zoom level started at 498% Is that too high?

    If you're looking at your page magnified by almost 500% that might be a clue as to why 12 point type looks so large.

    Can we get a verification of the version and build numbers, please? Open the help menu and then hold down the Ctrl key while choosing About InDesign. Let us know the version number (including what is listed in parentheses) in the upper left of the detailed dialog that should pop up.



    I'm beginning to think there is something major that has been damaged in the installation and that you may need to re-install. You can try a ''repair'' from the original installation disk.

    Are you working on a very small document on a very large screen? Is the document fitting within the window at 498% or are you only seeing a fraction of it?



    Change the zoom level to something sensible (depends on your screen what sensible means -- on mine, a zoom value of 136% is about actual size). Then save your document using Save As to overwrite the original. That should cause it to open at the zoom setting you chose.

    Indeed, but if the window is on a 30-inch screen and the document is 4 inches tall by 6 inches wide, then perhaps 500% is to be expected.

    Absolutley. Just want to be sure that new docs are, indeed, showing the whole page and not some small chunk, which would lead me to think there was a SERIOUS problem with the installation. I don't know of any way to change the default new doc zoom, do you? Is it scriptable?

    Not in the sense that a new document would automatically open at some other percentage. You can run a script on the open event. You can even run it ''after'' the open. But even though it is after the open it is before the window is drawn and so you can't actually do anything useful at that point in time.

    Coupon Magazine Uses Photoshop to...

    Please tell me if you think I'm going in the right direction. . .



    I hope to be starting work at a coupon magazine by next week. I helped them in the crunch about a month ago and they want me to come in to manage production. I have been out of the graphic business for about 4 years but previously used Quark, Photoshop, Illustrator, CorelDraw, etc., to lay out magazines, catalogs, etc., and output jobs in a prepress environment.



    I was surprised to find out that the coupon company was using Photoshop exclusively to lay out coupon ads. All ads were made as layered (many, many layers) TIFFs. All type was set in Photoshop as well. The TIFF files were then dropped into Quark 7 and sent to the printer.



    I have recommended that they switch to InDesign (which they already have on all of their PCs) for laying out ads. I've made a library of coupons that can be dragged and dropped in InDesign along with a template for the whole magazine that has master pages for 1-6 coupons, half page ads, etc.



    After being out of the business for a few years, I want to be sure I'm headed in the right direction. I would appreciate opinions and any advice.

    What they're doing now sure doesn't make a lot of sense, but Quark users can be a stubborn lot. :)



    My only caution would be to make sure the printer can handle an InDesign produced PDF without throwing it into Quark for imposition -- there are still some dinosaurs roaming the planet.

    Coupon Magazine Uses Photoshop to...
    Thanks Peter. I'm supposed to get on a conference call with the printer this week. I know the printer (R.R. Donnelly) provided a ''droplet'' for Quark that allows them to make individual PDF pages from the Quark file. I suppose they do this in order to impose the layout. My research turned up that I should use a PDF output as PDF/X-1a:2001. I haven't found any options for InDesign that would allow me to make individual pages, though.



    I plan to make a slow transition since they have 10 books to deal with. We'll do one or two through InDesign on the first pass (due April 1 to the printer) and then transition the rest in our down-time.

    If you have the full Adobe Acrobat, you can just make one full PDF and then use Acrobat to extract all the pages as separate files. That's what I do on the 90-page magazine I have to work on....

    How to save as rtf. in CS4

    Probably a stupid question but how do I save an InDesign document as an rtf document. In cs3 it is under the export menu but not in CS4. Any help would be greatly appreciated

    It is equally under the export menu in both versions. But you can't export a whole document as rtf, only text or stories. If you have text selected (or a live insertion point in a story) then the selected text or story can be exported to rtf. But if you don't, then the rtf option is not offered.

    The ExportAllStories script is one of the sample scripts installed by default in InDesign. Just open the scripts panel and navigate down through the application folder to the samples folder and pick your flavor.

    I have add a pic into a object frame, next I added a glyph on to this object. However when I apply text wrap (the third icon in text wrap window) onto this objuect my glyph dissappear. I have tried arrange the glyph above all still it din appear. Hope someone can help, thanks!

    Your glyph is in a separate text frame above the picture. When you apply text wrap to the picture, you are wrapping the

    glyph away. Select the text frame, Ctrl B, and then select Ignore Tex tWrap.

    Just a note...you're obviously moving from Quark to InDesign in thinking

    that putting text above an object won't have the wrap applied.



    InDesign's text wrap is far more versatile because it doesn't have that

    limitation.

    These functions are not so much hidden, as just tucked out of the way it would be chaos if everything was in your face.



    Ctrl B is a shortcut to the text frame properties menu that you will find on the context menu (right click) when you

    select a text frame. Get to know the context menu. As the ''context'' part of its title suggests, it changes according to

    what you are doing. There are a lot of useful commands available to you in there.

    xml elements vs datamerge

    I am trying to simulate the data merge option 'remove blank lines for empty fields' using an xml based setup.



    I have a template with the xml elements from the structure placed in a text box.



    When I create a new document from the template and import my xml file (with delete elements that do not match...) and drop it into my text box it creates the variable pages without a problem.



    But if there is a blank element it still merges the carriage return which follows the element.



    Can I lay out my elements (tagged place holders) so that each prints on a separate line without a blank line where there is no data for a record?



    I hope that I am going down the right track trying to use xml in place of data merge because I need to produce 10,000 personalized pages and datamerge is painfully slow if it works at all.

    Trial Version of InDesign CS4

    I have downloaded the trial version of CS4. Is it suppose to be fully operational? The text does not show up when I type, and the pictures cannot be fit to container.

    It's also possible to just hide or show the guides while leaving the pasteboard in view. Ctrl + ; is the shortcut, or use the view menu.

    Different page sizes

    Is there any way possible to create a document that has pages of different sizes (InDesign CS3)? I'm creating a template for a large roll fold document (25.375 x 11) and want one page in each spread to be 8.375 instead of 8.5.

    But for this project why not just add a guide or set the margin differently for that page, put a trim mark in the bleed or slug area, and add a non-printing no-print indicator of some sort if you're really worried. A note to the printer is also in order.

    Newbie question about spot color...

    Hi everyone...here's a newbie question about spot color printing. I am going to be working on a project as an apprentice. The project is going to use one spot color, not CMYK. Is the idea behind spot color that I can produce a document in ID CS4 using one color (say, cyan), and then the press ''knows'' to convert the cyan into our spot color of choice? Thanks.

    That's one way, but not ideal, because there's a chance that sometime, someone will print it in Cyan ink. Best to create swatches in InDesign and Illustrator (if linking to Illustrator files) that are named correctly and look close to the proper ink.



    In the Swatches panel select New Color Swatch. Set Color Type to Spot, name the swatch, and colour it appropriately. Under Color Mode there is a large selection of swatch libraries including the most common spot colours used. If you're using Pantone ink, make sure you pick from the appropriate library (Matte, Uncoated, or Coated) and that the word ''Process'' is nowhere in the library chosen.

    If the entire document is going to be printed with the spot ink, i.e. it is a one-color job, you can also just use black and tell the printer which spot color you want (but of course it will look black on the screen while you edit).



    It really doesn't matter what swatch you use for a spot color, as long as you use only one for each, and both you and the printer know what color ink belongs on the press.

    A simple way to use the CMYK plate colors for spot color is to include a slug identifying the ink, and make sure the slug text is ''colored'' the correct plate color. That is, if you're printing black and a Pantone color, it can be quick and simple to use the K and C plates, and include a slug on the K plate that says BLACK (just to be sure) and one on the Cyan plate that says PANTONE 321 (or whatever.



    I've used this for years and years both to generate plates more quickly and with fewer steps and errors than trying to define a spot color correctly, and in apps that didn't handle spot color separations well.

    One follow-up question: if I place a PDF into an ID document and the PDF uses black and one additional color, why do I get complaints that the printer won't recognize the PDF? I don't think I'm asking ths question correctly, but the fundamental question is: how do you place a PDF into an ID document that uses spot color correctly? I know I'm delving into technical details, but I'm interested.

    Yes, generally speaking. Each color needs to be isolated on a single plate, and it makes no difference what those plates are called, as long as both you and the printer agree on what the names mean. The advantage to using a spot color swatch from one of the libraries is that your screen representation will look something like what the printed output should be (but never rely on the screen for spot colors, use a swatch book, because many spots can't be represented accurately in either CMYK OR RGB.

    PDF can contain spot colors just fine, but they need to be spot colors in the original application, and the export or print to PDF that generated them must not convert them to CMYK or RGB.



    Lots of things can LOOK like they are only one color, but in fact are RGB or CMYK mixes. This would be particularly likely with content created in Photoshop, where you must use a spot channel or multi-channel mode of some sort to work with spot colors.

    Working in CS4, I am creating a table of contents with text that is underlined (links). When a title wraps onto the next line, the space after the last word on the first line is underlined. I don't want the space underlined. If I delete the space, then there is no spacing between the words. I have to manually go in and select the space and un-select underline.



    Any ideas? Is there a text wrap setting (not text wrap around an image, but text that wraps to the next line)?

    CS4, Windows XP.

    CS3 Postscript fonts not visible when...

    CS3 Postscript fonts not visible when Installed with Suitcase 11.0 on Vista Ultimate 64bit.



    Truetype and Opentype work fine. I have searched through all the forums here multiple times, but not found a solution. The only workaround I found was to manually put the font files in c:/ProgramFiles(x86)/CommonFiles/Adobe/Fonts.



    When I put any font files in that folder, they show up in CS3 for use, but not in windows apps. I thought I would make a permanent work around by placing all of my uninstalled font files in that folder, then use suitcase to install them from there. That didn't work because EVERY font in that folder is available to CS3 and turned on. Do they get installed when you put them in there?? It didn't seem like they were installed, and windows apps didn't see them.



    These are workarounds anyway. My main goal is to have suitcase work so I can organize my fonts efficiently. Extensis blames the font and CS3. I have read that there are adobe issues with other font management software as well as suitcase. Any help would be appreciated.

    Yup...most of my Type 1s have TT versions and that's been my workaround.



    I don't know if it's a Windows issue or an Adobe issue. And since I

    killed all of my Type 1s I can't even tell you if the problem shows up

    in CS4.

    I have always been under the impression that Type 1 fonts were better than TT fonts. I do have many of the same on both types so that's good. What about a font conversion tool? Is there a good one that can change my type 1's into OT or TT?

    (1) There is nothing superior about Type 1 fonts over TrueType or vice versa. Anyone who tells you otherwise just doesn't know what they are talking about and is likely a refugee from the font wars of the early 1990s, grossly uninformed, a snob, or some combination of these.



    (2) If you are licensing fonts now, it is most prudent to license OpenType fonts (whether Type 1 or TrueType flavoured) primarily due to their ability to be used compatibly across platforms as well as their ability to support advanced text layout features and extended character sets.



    (3) Font conversion tools are at best an iffy proposition. Such conversions are a lossy operation that may yield font quality degradation and/or changes in the font metrics.



    (4) If a Type 1 font works without a problem under Windows with Adobe applications, but fails with a third party font manager, I think you have sufficient evidence that there is an issue with the third party font manager.

    font manager since I've seen this same behavior with Type 1 fonts on

    Vista64 without a font manager.



    Because I have the TT versions I just installed them instead and I

    haven't pursued it since CS4 came out.

    Holding down Shift also works in a myriad other ways. If you click down on an object and move it slightly, then hold down Shift, it will only move orthogonally from its original position.



    Note that you have to select first, THEN hold down Shift, otherwise you're in multiple-select mode. :)

    Hi!



    At my workplace I have a restricted account for using vista thus I cannot modify folders where one could normally install fonts. (I mean windows\fonts or program files\common files\adobe\fonts or program files\adobe\indesign\fonts)



    Is there any other location where I might put fonts and then I can use them in indesign (or illustrator)? (and hopefully doesn't need to have administrator privileges to modify the contents of that folder...) Something like the per user scripts folder?

    Or any other possible workarounds?

    I don't know for sure, but I suspect this reflects that ID has a private fonts folder in the program files application folder and Illustrator does not, which leads me to think that the illustrator folder is stored in the user profile.

    ID CS4- Can only open ID CS2 files...

    Running Windows XP and just installed CS4 upgrade from CS2. Love the new look, but now I can't just open CS2 files by double clicking on them. Have tried to right click the file and use ''open with CS4 all the time'' but that doesn't work either. I always receive the same error message: ''xxx.indd is not a valid Win32 application.''



    The only way to open my old CS2 files is to go through File%26gt;open inside of CS4. It's becoming a little annoying... does anyone have any ideas of how to fix it?

    character in the Search box. It indicates that the character following is to be parsed as, for example, a paragraph return (^p), a tab (^t), or an en-dash (^=). Usually, there is an 'escape' for the escape character as well. Inspecting the drop down menu on the right of the Find field shows ID calls it the 'caret' character, and choosing it inserts the code for a

    occurrence: ^^

    So, to search for the double occurrences, you need to search for ''^^^^''.

    If you happen to use CS3 or CS4, use GREP to save a bit more time. That'll do the trick with just a single replace.



    In the Find field, type



    %26gt;\^\^(.*?)\^



    and in the Replace field,



    %26gt;%26gt;%26gt;$1%26gt;



    Then hit Replace All. Note the different escape character, as this is GREP, which has different rules. (The caret still needs escaping because it is also a special GREP character.)



    If you need to do this on more than one file, click the diskette icon at the top of the dialog. Give it a reasonable name, and it's ready to be recalled whenever needed.

    SWF or XFL export maximums

    We have a fairly large catalog and I was wondering what the maximum recommended amount of pages for either of these would be. To give you an idea, our small catalog is 44 pages which I would convert to 22 pages (full spreads basically). I just thought I would ask before I try to do this and end with horrible consequences.

    PDF TEXT QUALITY

    I have been using Indesign for quite a while but I have noticed recently that when I export an Indesign document to a PDF the quality of Just the Text is really poor. I have been messing around with the Transparency Blend Space, but have made sure that the blend space of the document is RGB and that the text is black RGB, this doesn't seem to help at all.     Standard, I haven't changed anything! I have just tried pdfing an old document that used to come out perfect and the text is screwed on that also.

    When you say Standard, what exactly are you choosing? File %26gt; Export PDF is what you should be doing; then you must be saving to a filename, then you must be choosing a PDF joboption from the dropdown list at the top of the busy dialog box. Which one? Thereafter, you might be making even other detailed choices.



    So again I ask: what exactly are you choosing when you make a PDF?

    Sorry I have only just been able to reply.



    Mike; I choose file%26gt; Adobe PDF Preset %26gt; High Quality Print%26gt; save file to desktop%26gt; Export. The in the detailed options I leave standard, If I need to I will show marks and bleeds but thats about it.



    Peter; The text is of really low quality. I am using Arial in indesign but when PDF'd The text looks like what I can only describe as ****** microsoft Times new roman really jagged edges and just not right at all. I wish I could post a screen shot but apparentley you can't!! Its on screen but when I try to print an error message comes up and says ''document will not print'' I can still open old Indesign files and print from pdf's and although the text is the same on these pdf's I am able to print.



    I am considering uninstalling and then Re-installing Creative suite as thios has never happened before! HELP!!!

    I can also highlight text in the PDF which I could not do before, If that helps!?

    not going to resolve your problem; you might actually get into more problems. Unless you can provide an example of what your problem is, there isn't anything much we can do to assist you. There is no known general problem matching what you describe. Thus, we would need to look at the content to help you find a solution.



    BTW, regardless of what you may think of Times New Roman, there is absolutely
    nothing wrong with that font itself. You may not like its design, but the font itself is not a known issue.

    Can't get rid of Button Libray in Open...

    Is this happening to anyone else? I don't know if it's restricted to this particular library file.



    When I first installed ID 6 I must have opened the Button Library just to look, and ever since it's been in the open recent list, usually as #1, though during the course of a session it will move down, or even off, the list, but the next time I open ID it will be back at #1.



    I've even trashed the Saved Data file, and everything else on the list is gone, but there it is when I restart: Button Library.indl.



    I don't wish this on anyone else, so don't try this at home unless you need to open a library, particularly that one, anyway, but would someone who uses libraries be willing to open one, shut down ID, then restart, open at least 10 more docs to move it off the list, shut down and restart again, and let me know if the list stays the way you left it?

    What happens if you move the button library to where InDesign can't find it. Do you get a file open error when you start

    InDesign? If you do, then it sounds as if InDesign is actually opening the library somewhere which is why it's appearing

    in the recent menu. If you don't then logic says that it should be pushed gradually down and off the recent menu.

    Hi Ken,



    What an interesting idea. I just renamed it, and on launch I have a message telling me the file can't be found, and asking if I'd like to postpone recovery, as if the application crashed while it was open. I'm going to tell ID to delete the recovery info and cycle through opening files for awhile to see if it goes away and stays away after renaming it back and opening again.

    I opened about 15 files to push the library off the list, closed ID, re-opened, the library still was not on the list, so I renamed it back, rebooted, opened ID, opened the library, verified it was again on the list, then opened 11 more files to push it off again.



    I've closed and re-opened ID, and it hasn't come back yet, so maybe that was it.



    I don't remember a crash with the library open, and if it had, why didn't it recover on the next launch? I do have a vague memory of modifying the library, though, then changing it back, and closing it. Why that would trigger a recovery, and where it was trying to open -- because it certainly wasn't on the screen anywhere -- is a complete mystery.



    Cyndi, try renaming the library and re-launching ID, and let us know what happens.

    Yes, I got the same message you did about recovery and declined the

    recovery. I haven't deliberately opened enough files to push it off the list

    since I know that will happen on it's own within the next day or so, so I

    can wait to see if what happens.

    application menu, but whenever I start ID I am still prompted to recover it.

    And, neither the yes or no recovery options work, only cancel, and then I'm

    prompted again next time I start the program. How can I get it to stop

    Are you being asked to recover the old name or the new name?

    The old name.

    Close InDesign. Navigate to your user profile under documents and settings (or, under Vista, I think it's under roaming) and then drill down to \Local Settings\Application Data\Adobe\InDesign\Version 6.0\en_US\Caches\InDesign Recovery and rename the folder. Relaunch ID and a new folder will be created.

    The button library does show up in the open recent list but drops down as expected when opening other files for me. If it's sticking to the top your list it's apparently something specific to your setup.

    It's also happening to me (Win XP-CS4) and I had never opened that library. Sounds like a bug to me.


    It seems to be more insidious than just the open recent list. I had the Buttons panel open the other day in response to something posted here on the forum. The darn thing kept reappearing every time I started ID, even though I made sure it wasn't open when I quit, so shouldn't have been stored in the workspace. I finally reset the space and it went away.


    FWIW, I've been having nearly exactly the same problem, so I'm following this thread with interest.

    Click Ok to Terminate and cancel to debug, after attempting to debug the program it keeps occuring.

    I have everything setup and working perfectly except a discription text field. I am used a tab delimmeted file to populate a catalog, there seems to be a 250 character text limit. I am placing the text into a text frame. Does anyone have any ideas on where and if I can increase the size of the text being imported my text frame has plenty of more room left. Thanks for the help.

    A new ID user, I've just done my first book layout. Nearly finished, one last change had to be made (enlarging chapter headings) which has thrown everything off. Now text has moved outside bounding box and there's bunching of lines towards the end of page due to a baseline shift made previously.



    The answers can be found here, I'm aware, but my time for the learning curve is short. I'd be very appreciative of help.

    You'll need to provide a lot more detail about what you've done and how many frames you are using.



    I'm not sure what you mean by ''bounding box'' here -- that normally means the smallest rectangle that will enclose an object or group, but I get the sense that perhaps you are referring to the page margin guides. The bounding box for a text frame is generally the same as the frame size, and with very few exceptions text will not go outside the frame, but baseline shift could do it.



    Properly used, baseline shift is a powerful and useful tool, but it should be used very sparingly, only to align selected glyphs that you want to adjust, not usually entire lines or paragraphs. For that you would want to adjust the paragraph space before/after or the leading in the line (though I wouldn't, personally, set a single line with a different leading).

    I think when you say ''bounding box'' here you mean frame, so I'm guessing

    you added some text and it's gone into overset (little red plus sign at

    the bottom right of the frame). This just means that there's too much

    text in the frame. Either make it smaller so it fits in the frame,

    enlarge the frame so it fits, or click on the red plus sign to load the

    cursor and click the cursor on the next page or available space for a

    second frame.

    The other fairly quick way to insert any accented character is to keep the Glyphs panel open. A quick doubleclick will enter any displayed character in the current font.



    That's not a particularly good way to enter a lot of text in a language that uses accented characters, but it's good for all of those occasional loanwords, and requires no scripting, memorization of multi-key entry sequences, etc.



    If you're actually writing in a language that uses accented or alternate characters, you should become familiar with Windows' keyboard manager. In a project that needs formatting and entry of text in a variety of Euro languages, switching to the International keyboard from the US one has saved me oodles of time.

    Failed to Export the PDF file ????

    I have been using InDesign for a while now(4 years) and have never had this problem.



    This document has 138 pages and is 22.3MB. It also has a total of 67 images, all cmyk.



    My computer is Windows XP Professional - 3.ooGHz - 2.00GB RAM. It has 232GB's total and 70GB's used, so I still have plenty of room.



    I also have many files twice this size, but I've never had a problem with them.



    Now, the problem that just started this afternoon is that when I go to make a PDF of this file, I always get this message.



    ''Failed to Export the PDF file.''



    Does anyone know why?



    Oh yeah, I've been working with computers for a LONG TIME and work with many imaging programs(Adobe InDesign, Illustrator, Photoshop...) so I do know what I'm doing, but when it comes to the inside of the computer, I'm in Pre-K. So, try to explain to me in ''english''.

    Recommendation. Exit all programs including InDesign. Run InDesign again and open document. Do NOT page through document. Immediately do export operation. Let us know whether that works. There have been some address space and/or memory leak problems that ''go away'' when restarting InDesign.

    Copy and Paste gradients from Indesign...

    Hello,



    for some reason when I copy and paste an object with a gradient from indesign to Illustrator, the object becomes colorless....What happened to the gradient? I can copy and paste a solid colored object from Indesign to illustrator (and for some reason then, when I copy and paste an object with a gradient from illustrator to Indesign, it acts like a ''placed'' image....what's that about????)



    Can anyone tell me the best way to transfer a gradient swatch from Indesign to Illustrator, without having to regreate it? And why when I paste objects from Illustrator to Indesign, Indesig treats it as a ''placed'' image (meaning that once you double click on it, the hand pops up allowing you to move within the bounding box, like with an image)

    When I place a .jpeg file into a ID document the text appears to be blurry. If I convert a multiple page doc into a .pdf ID only places the first page of text. I can't figure out why the .jpeg is blurry or a better way to import the doc.

    better idea of what your jpeg looks like.



    That said, jpeg is a crummy way to show text, and ID's jpeg export is

    not that great either. Go back to your PDF import, check Show Import

    Options in the Place dialogue, and set a range of pages to Place.

    word to indesign to pdf and back?

    Ok, I have an old word form with fillable fields I send to clients. I now have other pages I would like to include with the word doc that I created in InDesign. I would now like to import the word doc (keeping the form fields, there are 200) into Indesign, add the additional pages, then export to PDF. I would like to be able to send this to clients, have them fill in the fields, and return only that portion (where they filled in the info) of the document to me. Is this doable? Using XP and CS4. Thanks in advance for any help at all!

    InDesign doesn't do ''fillable'' form fields, not even, I think, if you place a fillable PDF form and re-export.



    Acrobat has really good form recognition now, and building forms from a PDF is not the hardship it was a few years ago.

    Do the layout in InDesign, create the PDF and use Acrobat to create a PDF form.

    Publish the form on Acrobat.com and get live reporting from it. You can even export the filled in data in an Excel sheet or XML and filter it based on specific parameters.

    What conversion probs should I expect -...

    I've done some testing in converting InDesign v. 4.01 files to CS4 and the only problem so far I have found is how Black is handled. Read numerous threads here but those do not apply to our work flow. I will give some description of how we use CS2 and would love any hints on issues that might come up or other hints about testing, before we trust the Adobe sales pitch that they have handled all/most conversion issues.



    Our small office has several 1000 Indd and PSD files operating on XP SP3. We had significant conversion problems (placement of text on page) when we converted from PageMaker to InDesign, but this conversion seems like it'll be easier. Our typical Indd file is for grayscale booklet. File has threaded text, several layers, test wrapped around objects, but in general only uses basic functionality of Indd. There are many linked graphics that were created in CS2-PSD and all of those were converted to grayscale before creating TIF that we linked to in Indd. Color swatches in Indd are black, and ocasionally a 5% black tint behind some text. Nearly always Paragraph Styles have been assigned to text in a consistent manner, however local overrides are sometimes also applied.



    We interface with our two print vendors (one uses Mac, and the other is PC based) via PDF - currently using Acrobat Pro 7. We create the PDF from Indd, based on agreed upon setting with print vendor.



    We also create PDF versions of many of our Indd booklet files for website publication and hence many of the Indd files have lots of bookmarks and hyperlinks in the file before it is converted to PDF.



    While I have not yet done a test PDF file with our two print vendors, all of the other InDesign testing I have devised and done has gone smoothly and only the Appearance of Black issue has turned up. While this feels great, I don't want to be naive and assume that there are not gross or more likely subtle problems that I should be aware of.

    understand why anyone would want it to display or print inaccurately but

    that's just me.

    CS4 wraps text slightly differently from CS2. You won't see it until you

    begin editing or save to INX and open that. Even then, you won't see it

    until you compare a few hundred line endings. In a 300-page book, the

    differences are enough to gain or lose a line on maybe 10 pages.

    Are you sure you are dealing with ''appearance of black'' issues, which only apply to RGB output, or are you talking about your plain vanilla 100% black objects, like type, becoming a 4-color rich black?



    The latter is a profile conversion problem based on your color management settings. For this type of conversion you will want to convert to to profile and preserve numbers. If the files have color elements, colors will shift (assuming the profile is different), but for black and grayscale it is not an issue.



    Of course, the best course of action is not to convert at all, but to use the existing profile in the document.

    Currently when printing in booklet format any time an open type font is used the printer is defaulting to a system font instead of using the open type font. I have another user running the same setup who can print open type fonts in booklet format fine. I have reloaded the print drivers and removed / reinstalled the adobe suite. Same problem is occuring. Any suggestions would be appreciated.

    Sounds like maybe you're using a PCL driver instead of Postscript.

    I am producing a 40 page, 8.5 by 5.5 inch mini magazine. The printer is insisting on .125 inch bleeds on all four sides of each individual page, not just the outer edge of the paper. When i complie the pdf with the use document bleed checked, and the bleed set as requested at .125 on all sides, I get portions of the facing page showing up on the other page. So for example, a left page will have a .125 inch section of the right page added to it.



    Is this correct? The pages are folded so it doesn't seem like that's right. Do I have to manually slice the images that go across a spread and redo the layout without facing pages? I'm so confused. If the page isn't being cut in the middle, why do they need a bleed there? Sorry if this is too newbie and thanks for any tips!

    That doesn't sound right. A 40 page magazine would only require ten sheets for saddle-stitching, which does not require inside bleed. I doubt the printer is binding using any other method.

    saddlestitched document does not require inside bleed.

    I totally agree with Scott and Bob, but if you really want to supply the pages with inside bleed, the easiest method, now that your layout is done, might simply be to go into Document setup and uncheck facing pages.



    If you have mirrored master elements or similar differences on master pages, you'll need to select all the spreads first and override all master items in order to avoid having everything become a left-hand page.

    You will have to deal with images crossing the spine by duplicating and cropping, I think.

    Or just live with the wrong bleed on the inside edge. Presumably, if the printer is not merely intending to fold and saddlestitch, that material will disappear in the binding process.

I would ask him why the center spread is acceptable as is while the other pages require additional treatment, and what other alternatives may be available. Do some or all of the non center spread pages have artwork that butts up against the spine? That may explain his request, see my comment to Bob below.

    Although we cannot tell from red8ii8's posts, the printer may be intending to impose the document using the creep method that moves pages away from the spine. If so, then the request for single pages with symmetrical bleed would indicate a well intended effort by the printer to properly achieve red8ii8's design idea, and would make it a very good reason to stay with this printer.



    ''Find another printer.'' is a cheap, self-serving comment made far too often in these forums. Do we suggest with equal frequency that the clients of those posting in these forums about problems they are having with their work need to find a new designer?



    In the end, the successful completion of a print project results from the collaboration between designer and printer. So I encourage the OP to seek further in-depth discussion with the printer as to the reason for his request. If I have guessed correctly about outward creep adjustment being the motive for his request, the alternatives would be to creep the pages inward, or to have no creep applied. But I would not rule out other motives for the request.



    In short, work with your printer.

    I'm going to break in here and put in my two cents as in Al's link that IF there is content butting the spine, but not crossing, then perhaps a bleed would be in order using creep, but if the content crosses the spine I think both bleed and creep would be very bad ideas as the reader would be faced with duplicate content down the narrow strip at the spine.



    I tend to think that creep on 10 sheets is overkill, but I can understand why someone might want to use it. Personally, as I said in the other thread, I would try to avoid creating a design that has elements touching the spine anywhere except the center spread because I think it has too many negatives.

    Does this mean creep adjustment is a worthless procedure? Bear in mind that craftsmen strippers were doing this manually on light tables long before there was imposition software. The modern softwares make this much easier, therefore more commonly (not universally) practiced.

I agree that 10 bindery sheets generally may not merit this adjustment, and I indicated that in the other thread as well, but we have no concept yet of the page design in question. Depending on the design, outward creep may improve the look of a book done on a bulky 100# text.



    You mention training. Well with sufficient training, the creep issue can be foreseen at the outset, so that the design can be developed incorporating such need so that there need not be any rework at the end. That is the point of pursuing this here.

I just wanted to see if I could figure out why they were asking for something that didn't seem to make sense, and see if I was maybe misunderstanding the facing pages feature of InDesign.     No, it's not but you'll need to trust me when I tell you that I've

    advised quite a few people that their designers should be replaced with

    explanations as to why.

The location of maps and the contents of the glove box have nothing to do with pumping gas, but I'm just a stubborn dick and that's the way I play it. Would you come down of Bob if he told people to go across the street to Chevron instead of dealing with me?



    Not a fair comparison, because it's really not much of a bother to take the maps out for a few minutes.

    Completely reformat a document

    Hi,



    I've been given a document CS3 that needs to be completely redone. There were previously photos in the doc, they are no longer there, but the text is formated as if leaving space for frame or something.



    If I go in and use delete I can rejoin all the sentences but its some 75pages!! There are no setting under paragragh style, nexted paragraphs, so I don't know where to start.



    I am new to InDesign CS3, so please make the instructions simple/details when possible.

    what difference would it make if the doc was copied from a pdf and pasted into a Indesign file?

    But the three lines above are not sentences. They are lines, probably

    with hard returns at the end of each one. You can tell whether they're

    returns or forced line breaks by showing hidden characters (Type %26gt; Show

    Hidden Characters)



    If you want to get rid of hard returns, search for {space}\p and replace

    with {space}, where {space} is a regular spacebar space. This will get

    rid of all hard returns preceded by a space.



    If you want to get rid of forced line breaks, search for {space}\n and

    replace with {space}. This will get rid of all forced line breaks

    preceded by a space.



    Text with breaks like this could have come by copying text from a PDF

    (which is why I asked). Or it could have come by copying text from an

    email or any one of several different sources. Often text like this uses

    a hard return at the end of every line and a double return at the end of

    every paragraph. (Copy everything in this post and paste it into

    Indesign to see what I mean.) In that case, it's even easier. Just

    search for \p\p and replace with a temporary code, like {return}, search

    for \p and replace with space, search for {return} and replace with \p.

    This preserves the double returns as single returns and replaces all the

    other returns with spaces.

    The PDF format is a finished entity in that it is now intended for further manipulation. So it does not have the

    niceties of a word processor or DTP format in retaining flowing text. Every line that you see on the screen will copy

    and paste as a separate line with a hard return at its end.

    Exporting Quark 7 to InDesign CS4

    I am using Windows XP, latest updates. I have a batch of about 500 Quark 6.0 and 7.0 files that need to be converted to InDesign CS4. I've read that you can export from Quark to an .indd or .inx file, but there is no such option in my Quark 7.0 file%26gt; export menu. Do I have to have Quark 8 to do this? What other options are there other than creating a new template in InDesign and cutting %26amp; pasting text, then re-importing the graphics?

    Indesign by itself will open Quark 4 files. So without Q2ID, you would

    have to open each Quark 7 file, save down to Quark 6, open in Quark 6,

    save down to Quark 5, open in Quark 5, save down to Quark 4, then open

    Quark cannot save to Indesign or Indesign Interchange format.

    Which is a weird limitation -- but you can fake it.



    Insert the footnote anywhere else on the page where it doesn't take up any extra space (for instance, at the end of a paragraph). Set the colour of the reference number to [Paper], so it is invisible.

    Insert the reference number as regular superscript text in the correct place in the table.

    If you want the number to be invisible, set the color to [None] rather than [Paper] so what ever might be behind it can show through. [Paper] is going to leave a knockout against anything except a blank spot on the page. :)

    using indesign cs4 on a limited account

    im the IT manager for a small graphics, webdeveloping and production company

    the boss asked me to setup limited powers on the employees to avoid the instalation of unwanted apps (p2p mostly) and so on..

    the only program that doesnt work on a limited account is adobe indesign cs4

    it says ''adobe indesign requires at least 15360kilobytes free on drive C''



    funny thing.. the drive has about 60 gigs free... so.. whats going on?

    i tried giving full access to the adobe folder to the user.. no go..

    unlimited access to his profile folder.. no go.

    I think the problem is probably the size of the temp folder, or the space allotted to the user profiles, but I wouldn't stake my life on it.



    ID uses a LOT of temporary space for undo data, and this is normally stored in the user profile. You can change that in the File Handling section of the preferences under the Recovery Data field.
